This notice explains what personal information we process, why we process it, and the choices you have. It is written to align with the Protection of Personal Information Act, 2013 (POPIA).

Account information: your name, email address, telephone number, account type and, for business accounts, your company or dealership details.

Vehicle information: registration number, VIN, engine number, make, model, licence expiry and related vehicle data captured from documents you scan or enter.

Documents you upload: identity documents, proof of residence, registration certificates, licence discs and company documents you choose to store in your vault.

Service information: the licensing jobs you request, their status, correspondence with our team and payment records.

Technical information: IP address, device and browser details, and security events such as sign-ins, recorded so we can protect your account.

To deliver the licensing services you request, including lodging applications with the relevant authorities.

To operate your workspace: reminders, job tracking, document storage and vehicle records.

To verify identity and prevent fraud or unauthorised access.

To meet legal, accounting and record-keeping obligations.

Documents you store in a personal, company or vehicle vault are private by default. Our staff can only view a document once you share it or approve an access request, or where you have asked us to perform a service that requires it.

Every view, download and upload of your documents by our team is logged with the user, date, time, IP address and device, and you can see that activity in your account.

We share information with licensing authorities and testing stations only to the extent needed to complete the service you requested.

We use service providers for hosting, document recognition, email delivery and network security. They process information on our instruction only.

We do not sell your personal information, and we do not use it for advertising.

We keep job and document records for as long as your account is active and thereafter for the period required by law. Documents are versioned rather than overwritten, so an earlier version may remain available to you until it is archived.

Access is restricted by role, sessions can be revoked, sensitive actions require re-authentication, and administrative activity is written to an immutable audit trail. No system is perfect, but we treat unauthorised access as a serious incident and will notify you and the Information Regulator where the law requires it.

You may request access to the personal information we hold about you, ask us to correct or delete it, object to processing, or withdraw consent where processing is based on consent.

If we change this notice we will update the page and, where the change is material, tell you in the platform before it takes effect.
